White Elephant Tables

Did you change scales, eras or prototypes and now have stuff you will never use? Or maybe you've just accumulated more than you need. Why let it gather dust? Here's a great way to turn them into cash with none of the hassles of e-Bay... you don't have to list, pack and ship them. Simply gather your items and bring to the Convention. And the best part... you won't miss any activities throughout the day because you don't have to be there for them to sell.

All items for sale at the White Elephant are offered for sale "as-is", all sales are final. Cash or checks are accepted, sorry, no credit cards. Division members will be present at all times to the handle sales.

    Here are the easy steps to follow to sell your items:
  • 1. Price the items (whole dollars only please) along with a description of each.
  • 2. Number each idividual item or group of items being sold as a set (use your three initials followed by the item number, ex: ABC-1, ABC-2, etc). If you have multiple identical items not sold as a set, each item must have a unique number.
  • 3. Submit a list of all your sale items for accounting purposes (item number, brief description & price). See the forms below.
  • 4. After the White Elephant sale is over, after you are paid for the items that sold, and after you have picked up your items that did not sell, you will sign the End of Event Settlement on your form.

That's it. At the end of the day pick-up any unsold items and the cash for those that sold. The Division will retain a nominal 10% commission for handling the sales and require you to acknowledge that you were paid.

Saturday Schedule:

  • On Saturday afternoon, the sale of items at the White Elephant will close at 3:00pm.
  • At 3:00pm on Saturday, sellers will begin to settle up their accounts and should be finished by 4:45pm. Sellers must be in line no later than 3:15pm.
  • Sellers will remove all of their unsold items and the White Elephant room will be locked for the banquet at 5:00pm, no exceptions.

White Elephan Form:

If you want to get a head start itemizing your sale items, there are two different ways to fill out the form at home:

Simply print, fill-out ahead of time, keep a copy for yourself, and bring to the Convention. Not to worry, if you would rather complete when you arrive, we will also have a supply of blank sheets available at that time. Remember to place your three initials before the item number for easy identification.

The Div. 2 Company Store will be a part of the White Elephant Sale.

Hours are 9:00am through 9:00pm Thursday and Friday, but 9:00am through 3:00pm on Saturday, to allow for settlement of sales (3:00pm-4:45pm, doors closing at 5:00pm before the Banquet set-up).

Abandoned items are forfeited to Division Two for the purposes of future fundraising.

MCR 2023 White Elephant Sale Rules

Overview: The purpose of these Rules is to reduce confusion, to aid in operating the Sale, and to produce the most accurate results in the Settle Up. Although this leads to added formality in the process, the goal is to have a quality experience for Seller and Buyer. All items at the White Elephant are offered for sale “as-is,” and all sales are final. Cash or checks are accepted; sorry, no credit cards. Division members will be present at all times to handle the sales.

Item Sign-In: Sign in begins at 9am on Thursday until 9pm Thursday and Friday and selling runs through 3pm on Saturday. The Sales form must be completed before signing in of your Item(s). Complete information must be supplied. All Items must be signed in at the Sale desk. Once signed in, display your items with its description. You may “check out” any remaining items at any time, however must settle before 5pm on Saturday. Sellers must be in line to check out by 3pm Saturday in order to retrieve unsold items and obtain payment in time before doors close.

Here are the easy steps to follow to sell your items:

1.) Number each individual item or lot being sold as a set (use your three initials followed by the item number, ex: ABC-1, ABC-2, etc.). If you have multiple identical items not sold as a set, each item must have a unique number. Label each item with a sticker showing your 3 initials, all capital letters, and a unique number, with the price in whole dollars only, which must match your log sheet.

2.) Handwritten lists should be discouraged if possible, complete our registration form, links are above for you to download and fill out. Numbering is automatic. Bring two copies: one for the Sale staff, and one for yourself as a receipt. You may complete a paper form at the convention, but you will need to complete that outside of the sales area and then return to the register; such handwritten forms must be printed neatly in all capital letters. Price items (whole dollars only) along with a description of each to include the color and car no. of any cars/engines. Please use our form; substitutes will not be accepted. If multiple items are sold as a ‘Lot,’ use one line on your form and mark ‘Lot’ as the first word of your description; be sure to package and price each lot as one unit. A separate line and number on the form must be completed for each individual item or lot.

3.) After the White Elephant sale is over, after you are paid for the items that sold, and after you have picked up your items that were not sold, you will sign the End of Event Settlement on your form.

Multiple Buyer Dispute: In the event two or more buyers begin arguing over an item, an instant Silent Auction will occur. A Sale Staff member will give each Buyer a blank slip of paper. The Buyers shall write their highest bid for the item on the paper, add their registration number, fold it, and hand it to the Staff member. The Sale Staff member shall open the bids immediately and announce the winner. The Buyer having the highest bid over the listed price shall be awarded the item at the bid price.

Payment: Buyers shall pay for items before removing them from the Sale room. Payment may be made by check or cash. No credit or debit cards can be accepted. The amount to be paid will be the price set by the Seller (unless otherwise negotiated in person in front of Sale Staff) or the instant Silent Auction price.

Settle Up: Settle up begins at 3pm on Saturday and must be completed by 5pm Saturday. Sellers will receive 90% of the proceeds of their sold items; the Host Committee will retain 10% to support the Convention (rounded to the nearest whole dollar). The Seller must present their copy of the registration list to retrieve their unsold Items and to receive payment for sold items. Only the Seller may pick up their items unless other arrangements are made ahead of time. Sellers who lose their receipt must present a photo identification and Convention Badge to retrieve their Items. Unless other pickup arrangements are made in writing before the end of the Sale, all unclaimed items shall be deemed “abandoned” and shall become property of the Host Committee as of the end of Settle Up, to be disposed of as the Host Committee deems appropriate.

Final Authority: All decisions, disputes, or need for clarification shall be the sole responsibility of the Sale Manager and shall be final.

Liability: Your signature on the Item Registration Form releases the Convention Host, Committee Members, Staff, Officers, and Convention Facility from any and all liability for any or all loss or damages monetary or otherwise or other mishap that may happen to the therein described item. Any items abandoned at the end of settle up, shall become the property of the host committee for disposal at its discretion. Your signature also affirms you have read and agree to the Sale Rules.
